Vision, creativity and energy are critical to your success.  In addition to exceptional organization skills and a relentless attention to detail, the ideal candidate for Event Planner is a dynamic and creative minded event enthusiast that is responsible for facilitating the event planning process with superior customer service skills, a high level of professionalism and willingness to support all planning and administrative details of the event. The Event Planner reports to the Senior Director, Community Development.


•    Provide creative and logistical support to the lead Department staff person to plan, coordinate, organize and execute all event details in the most professional manner for major Federation events 
•    Support lead staff person in tracking of event budgets and expense summaries, ensure adherence to budget, identify areas of efficiencies, review invoices for accuracy and process payments and recommend/set up vendors.
•    Staff events, including oversight of site set-up and vendor arrangements and recruiting and managing additional event personnel. 
•    Ensure events are completed smoothly and step up to resolve any problems that may occur
•    Define, prioritize, delegate and track events, generate event reports, where needed, and perform post-event follow-up duties and analysis for continuous improvement
•    Act as Lead Staff to plan and coordinate all aspects of the Federation and Foundation Combined Annual Meeting and Annual Officers Dinner with proper recognition of the Butzel Awardee (Federation's highest honor awarded at the Annual Meeting). 
•    Manage scheduling of large Federation events in coordination with the Community Calendar
•    Work with the Marketing team to design and create branding for events including but not limited to, banners, invitations, signage, posters, and e-blasts. 
•    Provide support for Federation’s role at constituent agency meetings and events.
•    Act as a liaison to constituent agencies for their event planning.
•    Act as a liaison to Federation’s constituent agencies for their event planning. 
•    Plan and coordinate staff and lay attendance at major events such as but not limited to the Jewish Federations of North America General Assembly.
•    Other special projects/duties as assigned.

Required Qualifications

•    Minimum High School Diploma.  Bachelor’s degree preferred with specialization in Event/Meeting Management or Hospitality Management. 
•    Detail oriented, organized, resourceful, strong time manager with the ability to multitask and prioritize in a demanding work environment.
•    Prior experience successfully coordinating large scale events, budgeting, negotiating contracts, project management  
•    Must be able to create and adhere to a budget. 
•    Able to work autonomously as well as with a team in a fast paced, high pressure environment.
•    Be a savvy relationship builder and charismatic individual that engenders confidence and trust. 
•    Able to lead by example and create positive energy and momentum. 
•    Be responsive and possess strong customer service skills. 
•    Excellent written and verbal communication, interpersonal, relationship-building skills.  
•    Proven ability to interact effectively with professional staff, lay leaders and vendors. 
•    Available to staff events in the evening, on the weekend and outside of normal business hours. 
•    Demonstrate flexibility with changing circumstances. 
•    Knowledge of and appreciation for the Jewish community, its customs and practices, Federation and the Jewish nonprofit world is a plus. 
•    Possess a valid driver's license and vehicle to pick up/deliver materials for events.
•    Demonstrate flexibility with changing circumstances.
•    Proficiency in Microsoft Office including Excel, Word, Access and PowerPoint.
